AI implementation in a small business: step by step

October 12, 2026

AI implementation sounds big, but in a small business it usually starts with one concrete job that repeats. Here is what that looks like in practice.

1. Find a job that repeats

Ask your people what they do several times a day and what takes the most time: answering the same enquiries, retyping data, building the same reports. That job is the first candidate.

2. Check that it is worth it

Estimate how many hours a week that job takes and how much it would be worth to free them. If the answer is small, it is not worth it. If it is large, you continue.

3. Build a small, measurable prototype

You do not build the whole system at once. First a basic solution is built on real data, for example a chatbot that answers the twenty or so most common questions. This step takes days, not months.

4. Test with real people

Your employees try the solution and say what is wrong. Mistakes at this stage are normal and cheap to fix.

5. Go live and keep watching

After launch we watch conversations and results, fix mistakes and add what turned out to be needed. Good automation is refined over the first weeks.

6. Expand only when it works

When the first solution is stable and saves time, it makes sense to add the next: booking, calendar connection, message processing, reports.

If you do not know where to start, a free 30-minute conversation is enough to find together the first job worth automating.
